Governance & Responsible Business Statement

How Veda AI approaches ethical conduct, transparency, responsible decision-making and business accountability.

Veda AI is a growing business, but we believe responsible business practices should be built early. This statement explains how we approach ethical conduct, client transparency, data responsibility, supplier relationships and business accountability as we grow.

01 · Our governance approach

Building good habits early.

Veda AI LTD is a company registered in England and Wales under company number 16011801, based in Hull. We are not a large corporate organisation, but we believe responsible governance should start before a business becomes large. Our approach is to build clear, honest and proportionate practices around how we work with clients, suppliers, partners and the wider community.

As the business grows, we expect this approach to become more formal. For now, our focus is on transparency, ethical conduct, responsible technology, data protection and doing what we say we will do.

02 · Ethical conduct

How we expect to operate.

We expect Veda’s work to be carried out honestly, professionally and with respect for clients, partners, suppliers and the communities we work with. We aim to communicate clearly, avoid misleading claims, and act in a way that protects long-term trust.

This includes being clear about what we can do, what we cannot do, where risks exist, and where specialist advice may be needed.

03 · Client transparency

Clear scope, clear expectations.

Veda’s client work is based on clear expectations around scope, pricing, deliverables, timelines and responsibilities. We avoid vague promises and instead focus on practical outcomes, honest recommendations and commercially sensible next steps.

Where we identify that AI, automation or software is not the right solution, we say so.

04 · Anti-bribery, corruption and fraud

Zero tolerance for dishonest business practices.

Veda does not tolerate bribery, corruption, fraud or dishonest business practices, and we act in line with applicable UK law, including the Bribery Act 2010. We do not offer, request or accept improper payments, gifts, incentives or favours intended to influence a business decision.

We expect anyone working with or on behalf of Veda to act honestly and to raise concerns if they become aware of behaviour that may be improper, misleading or unlawful.

05 · Conflicts of interest

Being open about competing interests.

If a potential conflict of interest arises, we aim to identify it and address it openly. This may include situations involving partners, suppliers, referrals, client relationships or commercial incentives.

Where relevant, we will explain the conflict, agree how it should be managed, or step back from work where it would not be appropriate to proceed.

06 · Supplier responsibility

Choosing partners carefully as we grow.

Veda works with third-party tools, platforms and suppliers to deliver its website, systems and client work. As the business grows, we aim to choose suppliers that are reliable, professional and aligned with how we want to operate.

This includes considering data protection, security, service quality, environmental impact and ethical business practices where practical and proportionate.

07 · Insurance and professional cover

Cover appropriate to the work we carry out.

Veda AI maintains business insurance appropriate to the type of work we carry out. This includes professional indemnity insurance, public liability insurance and employers’ liability insurance.

At the time of writing, Veda holds £5 million professional indemnity cover, £5 million public liability cover and £10 million employers’ liability cover. Evidence of insurance can be provided to clients, partners or suppliers where reasonably required during onboarding or due diligence.

08 · Modern slavery and ethical supply chains

A proportionate ethical supply chain commitment.

Veda AI is not currently required to publish a formal modern slavery statement under the Modern Slavery Act 2015, but we take the issue seriously. We do not knowingly work with suppliers or partners involved in forced labour, human trafficking or exploitative labour practices.

As a smaller digital business, our supply chain is currently limited mainly to professional services, software platforms, cloud tools and specialist contractors. As we grow, we will continue to review supplier relationships and act if concerns are identified.

09 · Data protection and information security

Responsible handling of information.

Veda handles client, prospect and website-user information as part of its work. We aim to collect only what is needed, use information responsibly, and work with trusted platforms and suppliers, in line with UK data protection law, including the UK GDPR and the Data Protection Act 2018.

Our Privacy Policy explains how we collect, use and protect personal information. Our Responsible AI Statement explains how we approach AI-related data risks, human oversight and appropriate use.

10 · Concerns and complaints

Raising concerns with us.

If a client, supplier, partner or website user has a concern about how Veda operates, we encourage them to contact us directly so it can be reviewed.

You can raise a concern with us at hello@vedaai.co.uk. Where appropriate, we will review the concern, aim to acknowledge it within five working days, respond in a reasonable timeframe and take action if something needs to be corrected.

11 · Review and accountability

How this statement is owned and reviewed.

This statement is owned by the directors of Veda AI LTD and will be reviewed at least annually as the business grows. We expect our governance approach to develop over time, including clearer internal processes, supplier checks, information security practices and responsible business policies where needed.
