Responsible AI Statement

How Veda AI approaches practical, human-led and responsible AI adoption for SMEs.

AI can create real value for SMEs, but only when it is used with the right context, controls and human judgement. Veda AI’s approach is to help businesses use AI practically and responsibly — improving workflows, reducing wasted time and supporting better decisions without creating unnecessary risk, complexity or dependency.

01 · Our responsible AI approach

Practical AI, not AI theatre.

Veda AI believes AI should be used to solve real business problems, not added for the sake of it. Our work starts by understanding how a business actually operates, where time or value is being lost, and whether AI is the right tool for the job.

We focus on practical AI adoption that improves clarity, productivity and decision-making while remaining proportionate to the size, maturity and risk profile of the organisation.

We also keep track of how guidance and regulation around AI in the UK and EU are developing, and aim to keep our recommendations aligned with good practice as it matures. This is not a claim of formal compliance or certification.

02 · Human-led by design

AI should support people, not replace judgement.

We believe AI systems should support human decision-making rather than replace it blindly. Where AI is used in a workflow, we make sure there is appropriate human review, ownership and accountability.

For SMEs, this is especially important. AI should help teams work more effectively, reduce repetitive tasks and improve access to information — not remove responsibility or create decisions nobody understands.

03 · Data privacy and security

Responsible use starts with the data.

Veda considers data privacy and security when recommending or implementing AI-enabled systems. We aim to avoid unnecessary data collection, limit access where practical, and help clients think carefully about what information is suitable to use with AI tools.

We do not encourage clients to put sensitive, confidential or personal information into AI tools without understanding the risks, controls and provider terms involved.

Where client data is involved, the appropriate approach will depend on the tool, use case, sensitivity of the information and the client’s own legal, contractual and regulatory obligations. Our Privacy Policy explains how we handle personal information collected through our own website and services.

04 · Testing before deployment

Useful AI should be tested before it becomes operational.

AI outputs can be useful, but they can also be incomplete, inaccurate or unsuitable without the right context. Before AI is relied on in a live workflow, we test it against realistic scenarios, review outputs, check edge cases and confirm that the process is suitable for the intended use.

For higher-risk use cases, additional review, documentation or expert input may be required before deployment.

05 · Bias, accuracy and limitations

AI has limitations, and those limitations matter.

AI systems can produce incorrect, biased or misleading outputs. They may also reflect limitations in the data, prompts, tools or assumptions used. Veda does not present AI outputs as automatically correct.

Where AI is used, we encourage clients to treat it as a support tool that should be reviewed, challenged and improved over time.

06 · Appropriate use cases

Not every problem needs AI.

Some problems are best solved with clearer processes, better data, simpler systems or improved communication. Veda will not recommend AI where a simpler, safer or more reliable solution is more appropriate.

Our aim is to help clients choose the right level of technology for the problem — whether that is process improvement, automation, software, AI assistance or a combination of these.

07 · Client responsibility and oversight

Shared responsibility matters.

Responsible AI adoption requires collaboration between Veda and the client. Veda can help assess opportunities, design workflows, recommend tools and implement systems, but clients remain responsible for how AI is used within their organisation, how staff are trained, and how decisions are governed.

Where appropriate, we may recommend internal AI policies, usage guidelines, approval processes or training to support safe adoption.

08 · Review and accountability

How this statement is owned and reviewed.

This statement is owned by the directors of Veda AI LTD and will be reviewed at least annually as AI tools, client needs and regulation continue to develop. We expect our responsible AI approach to evolve as the technology and best practice mature.
