Veda AI collects and uses personal information so we can respond to enquiries, provide useful resources, manage bookings, deliver services and improve how our website works. This policy explains what we collect, why we collect it, how we use it, who we may share it with and what rights you have.

Veda AI LTD (“Veda”, “we”, “us”, “our”) is a UK-based AI adoption, business efficiency and smarter-systems consultancy for SMEs, registered in England and Wales under company number 16011801. Our registered office is 13–15 Enterprise Centre, Cottingham Road, Hull, England, HU6 7RX.

This policy applies to Veda AI’s website and the related enquiry, booking and resource forms described below. Veda AI LTD is the data controller for the personal information covered by this policy. We are registered with the UK Information Commissioner’s Office (ICO) under registration ZC050659.

03 · What personal information we collect

The information you give us, and a little we observe.

Depending on how you interact with us, we may collect the following categories of personal information:

  • Name
  • Email address
  • Phone number, where you provide it
  • Company name, your role or job title, and your business website
  • Company size or operational details, where you choose to share them
  • The content of your enquiry, and your audit or application responses
  • Booking and meeting details, including your meeting preferences
  • Newsletter and resource preferences
  • Marketing attribution such as referral source or UTM parameters, where captured
  • Technical data such as IP address, device and browser type, pages visited, cookie preferences and analytics data — only where you have given consent
  • Any contact details or enquiry information you choose to submit through the Ask Veda assistant

We do not set out to collect special category (sensitive) personal data through our website, and our forms are not designed to gather it. Please avoid submitting sensitive personal information unless it is genuinely necessary for your enquiry.

Veda uses cookies and similar technologies. Essential cookies may be used for core site function and to remember your consent choices. Analytics and tracking cookies are only used where you have given consent, and you can review or change your choices at any time using the Cookie Preferences control in our footer.

08 · Newsletter and marketing

Opt-in, and easy to leave.

You may choose to sign up for The Veda AI Edge or other updates. You can unsubscribe at any time using the link in our emails or by contacting us.

Veda does not sell your personal information, and we do not allow unrelated third parties to market to you using your details without your consent.

09 · Ask Veda

The assistant on this site.

Ask Veda is designed to help you navigate Veda’s services, resources and next steps. If you choose to submit contact details or an enquiry through Ask Veda, that information may be stored and used by Veda to respond, qualify the enquiry and provide relevant follow-up. Ask Veda may use a trusted third-party AI provider to process your message so that it can respond.

Please do not submit sensitive personal information through Ask Veda.

10 · Bookings and meetings

How call bookings are handled.

When you book an AI Strategy Call or another meeting with us, we use the details you provide to arrange and manage the call. This involves creating a calendar event and an online meeting, and sending you the relevant confirmation and meeting details by email.

To do this we use Google Calendar to manage scheduling, and online meeting tools — currently Google Meet and Microsoft Teams — to host the call. Your booking details are used only to arrange, confirm and manage your meeting with us.

11 · Who we share personal information with

The processors that help us operate.

We do not sell your personal information. We share it only with trusted service providers (processors) that help us operate the website and the business, and only as needed. These currently include:

  • Vercel — website hosting and web analytics.
  • Supabase — secure storage of enquiry and lead data.
  • Sanity — content management for the website.
  • Resend — sending transactional and notification emails.
  • Google — Google Tag Manager and analytics (used only with your consent), and Google Calendar and Google Meet for bookings.
  • Microsoft — Microsoft Teams, where a meeting is hosted there.
  • Professional advisers, where we need their advice.
  • Authorities or regulators, where we are legally required to share information.

Each provider only receives the information needed for its role, and is expected to protect it in line with applicable data protection law.

12 · International transfers

When data leaves the UK.

Some of our providers may process personal information outside the UK, including in the United States. Where this happens, Veda relies on UK adequacy regulations where they apply, or appropriate safeguards such as the UK International Data Transfer Agreement (IDTA) or the UK Addendum to the EU Standard Contractual Clauses, so that your personal information remains protected in line with UK data protection law.

13 · How long we keep information

No longer than we need to.

  • Enquiries are retained only as long as needed for follow-up and administration.
  • Newsletter data is retained until you unsubscribe or ask us to delete it.
  • Client and project records are retained as required for the service, and for legal, accounting or legitimate business purposes.
  • Analytics data is retained according to the relevant provider’s settings.
  • You can ask us to delete your information, subject to any legal or legitimate retention needs.
14 · How we protect information

Reasonable, proportionate measures.

We take reasonable technical and organisational measures to protect personal information. These include access controls, working with reputable providers, serving the website over HTTPS, and limiting access to personal information to those who need it, where practical.

No method of transmission or storage is completely secure, so while we work to protect your information we cannot guarantee absolute security.

15 · Your rights

What you can ask us to do.

Under UK data protection law you have the right to:

  • Access the personal information we hold about you
  • Ask us to correct inaccurate information
  • Ask us to delete your information
  • Ask us to restrict how we use it
  • Object to certain uses of your information
  • Request portability of information where applicable
  • Withdraw consent at any time, where we rely on consent
  • Complain to the ICO

Built for business users.

Our website and services are intended for business users aged 18 or over. We do not knowingly collect personal information from children.

Beyond our website.

Our website may contain links to other websites. Those websites have their own privacy policies, and we are not responsible for how they handle your personal information. We encourage you to read their policies before sharing your details.
